What should I focus on for an Excel interview?
Which lookup questions should I start with?
Lookup and reconciliation questions appeared in 17 of 65 interviews. The most asked question compared XLOOKUP with INDEX/MATCH. It covered speed and how easy the workbook is to maintain, and appeared in 4 of 65 interviews. Start by checking whether you can explain your choice, not just name a function.
- Can you explain how
VLOOKUPworks and when you would use it? - Can you explain when you would choose
XLOOKUPoverVLOOKUPorINDEX/MATCH? - Can you build a lookup with multiple conditions, without helper columns, and handle missing matches?
- Can you find the latest record and compare datasets for missing or different values?
Can I explain how I check a workbook?
Spreadsheet controls and tracking also appeared in 17 of 65 interviews. Questions covered shared editing, consistent data entry, workbook audits and checks before sign-off.
Can you describe what you would inspect before sharing a workbook? Work through formulas, links, ranges and the data itself. Explain how you would investigate an error and what you would check before signing off. For a shared tracker, can you describe how you would manage file versions and keep entries consistent?
Which basics and formulas should I review?
Formulas and functions appeared in 13 of 65 interviews. Check whether you can explain everyday Excel use as well as the differences between related functions.
- Can you explain how
COUNT,COUNTIFandCOUNTIFSdiffer, and when you would use each? - Can you describe what AutoSum does beyond
SUM? - Can you explain cell references and the difference between a table and a range?
- Can you explain when you would sort data and when you would filter it?
- Can you describe how you use logical tests, date calculations, dynamic arrays,
LETandLAMBDA?
What should I check beyond formulas?
For data cleaning, can you explain how you would handle missing values, duplicates and hidden spaces? Can you describe the transformations and joins you would use in Power Query, and how you would check refresh performance?
For reporting, can you explain how you would summarize data in a PivotTable and use charts and slicers in a dashboard? For financial models, check whether you can explain scenario analysis, sensitivity analysis and model balance checks.
Do I need to write code?
Code-writing tasks appeared in 2 of 65 interviews. Both listed tasks used Python. Can you read an Excel file, filter rows with an active status and save the results to another Excel file? Can you turn text containing key-value pairs separated by semicolons or colons into Excel columns?
Beyond these tasks, can you identify work you would automate and explain how you would use a VBA macro or update tables in bulk?

When would you choose XLOOKUP over INDEX/MATCH, and what performance and maintainability trade-offs matter?
Asked in 4 of 65 interviews · last asked Sep 6 · Tooling · Mid-level
Show answer
I choose XLOOKUP in supported Excel versions because it is easier to read, uses exact matching by default, and handles missing matches directly. I use INDEX/MATCH for older versions or to reuse one stored MATCH result across several return columns. In large models, I test calculation speed rather than assume either is faster.
- INDEX returns a value; MATCH finds its position. Use MATCH with 0 for exact matching.
- XLOOKUP is unavailable in Excel 2016 and 2019, so check which versions users have.
- Limit lookup ranges in large models; avoid unnecessary whole-column references.
- XLOOKUP's binary search can improve speed, but requires lookup values sorted in the specified direction.
What the interviewer checks: The interviewer is checking whether you balance formula clarity, version support, and calculation speed in a shared workbook.
Other ways it was asked
- “In Excel, what’s the difference between INDEX and MATCH, and when would you choose one over the other?”
- “When would you choose XLOOKUP over INDEX/MATCH in a large workbook, and what performance or maintainability trade-offs matter most?”
- “In Excel, what's the functional difference between XLOOKUP and INDEX/MATCH, and when would you choose one over the other in a financial model?”
What is Excel, what are its main features, and how is it used in everyday work?
Asked in 3 of 65 interviews · last asked Sep 11 · Concept · Junior
Show answer
Excel is a spreadsheet program from Microsoft used to store, organize, calculate, and analyze data. Its main features include formulas, functions, sorting, filtering, charts, and PivotTables. In everyday work, I can use it to track expenses, manage schedules, summarize sales, and prepare reports.
- Data is stored in cells arranged in rows and columns, within worksheets.
- Formulas and functions calculate results and update them when the source data changes.
- Sorting and filtering help organize data and find relevant records.
- Charts show patterns, while PivotTables summarize data by groups.
What the interviewer checks: The interviewer is checking whether you understand Excel’s basic features and can connect them to everyday tasks.

How does VLOOKUP work, and when would you use it?
Asked in 3 of 65 interviews · last asked Sep 24 · Tooling · Junior
Show answer
VLOOKUP searches the first column of a selected range and returns a value from another column in the same row. I use it to match an ID or code to details, such as a product price. I normally use FALSE for an exact match.
- The lookup column must be first in the range; VLOOKUP cannot return values to its left.
- The return column number is counted from the left of the selected range, starting at one.
- FALSE means exact match; TRUE or an omitted last argument means approximate match and requires ascending lookup values.
- For an exact match, it returns the first match, or #N/A if none is found.
Code=VLOOKUP(E2,A2:C100,3,FALSE) Finds the value in E2 in column A and returns column C from the first matching row. What the interviewer checks: The interviewer is checking whether you can match table data and choose the correct match type.
Other ways it was asked
- “What is VLOOKUP, and how does it work?”
- “How does VLOOKUP work in Excel, and how do you use it to find data?”
- “How do you use VLOOKUP in Excel to find a value?”
What is the difference between VLOOKUP and XLOOKUP?
Asked in 3 of 65 interviews · last asked Oct 17 · Concept · Junior
Show answer
VLOOKUP searches the first column of a table and returns a value from a column to its right. XLOOKUP uses separate lookup and return ranges, so it can return values from either side. XLOOKUP defaults to an exact match, while VLOOKUP defaults to an approximate match. XLOOKUP also supports a custom value when no match is found.
- VLOOKUP’s approximate match requires the lookup column to be sorted in ascending order.
- HLOOKUP searches across the top row; VLOOKUP searches down the first column.
- INDEX with MATCH can look left or right and works in older Excel versions.
- XLOOKUP is available in Microsoft 365 and Excel 2021 onward, but not Excel 2016 or 2019.
What the interviewer checks: The interviewer is checking whether you can choose a suitable lookup function and avoid incorrect matches.
Other ways it was asked
- “What is the difference between VLOOKUP and HLOOKUP in Excel?”
- “What is the difference between HLOOKUP and VLOOKUP?”
- “What is the difference between VLOOKUP, XLOOKUP, and INDEX-MATCH?”
What checks do you perform to validate formulas, links, ranges, and data integrity before sharing a workbook?
Asked in 3 of 65 interviews · last asked Sep 6 · Tooling · Mid-level
Show answer
I check formula errors, copied formulas, cell references, and range boundaries for missing or extra rows. I verify external links, clear filters, and inspect hidden rows, columns, and sheets. I check missing values, duplicates, data types, and number formats. Finally, I recalculate, compare totals with source data, and test key results independently.
- Check first and last rows, absolute references, and formulas replaced by fixed values.
- Confirm linked files are accessible and linked values are current.
- Check whether totals should include filtered or hidden rows; formula behavior differs.
- Test normal and edge cases, and document unresolved issues before sharing.
What the interviewer checks: The interviewer is checking whether you use a repeatable review process and verify results, not just appearance.
Other ways it was asked
- “When you're reviewing a critical spreadsheet, what specific checks do you perform to catch issues like off-by-one ranges, hidden filters, and incorrect formulas?”
- “When reviewing a spreadsheet, what formula and formatting checks do you run, and what criteria make the review rigorous?”
- “In Excel, when reviewing a complex workbook for handoff, what specific steps do you take to validate formulas, links, and data integrity before sharing it?”
How do COUNT, COUNTIF, and COUNTIFS differ, and when would you use each?
Asked in 2 of 65 interviews · last asked Oct 17 · Tooling · Junior
Show answer
COUNT counts cells containing numbers, with no condition. COUNTIF counts cells that meet one condition. COUNTIFS counts entries where all given conditions are met. I use COUNT for numeric entries, COUNTIF for one filter, and COUNTIFS for several filters.
- COUNT includes dates and times stored as numbers, but ignores text and blank cells in ranges.
- COUNTIF supports conditions such as "Paid" or ">100".
- COUNTIFS uses AND logic: all conditions must match for an entry to count.
- All condition ranges in COUNTIFS must have the same size and shape.
Code=COUNT(C2:C100) Counts numeric cells in C2:C100. =COUNTIF(B2:B100,"Paid") Counts cells marked Paid. =COUNTIFS(B2:B100,"Paid",C2:C100,">100") Counts rows marked Paid with an amount above 100.What the interviewer checks: The interviewer is checking whether you can choose the right counting function and apply conditions correctly.
Other ways it was asked
- “Why do we use COUNTIF in Excel? What is its role?”
- “What is the difference between COUNT, COUNTIF, and COUNTIFS?”
What does AutoSum do, and can you use it for functions other than SUM?
Asked in 2 of 65 interviews · last asked Aug 21 · Tooling · Junior
Show answer
AutoSum inserts a SUM formula and suggests nearby cells to add. You should check the suggested range before pressing Enter. Its drop-down also offers AVERAGE, COUNT, MAX, and MIN, so it is not only for addition.
- AutoSum is a tool that inserts formulas, not a separate function.
- Check the suggested range, especially when the data has blank cells.
- The Count Numbers option uses COUNT, which counts numeric cells.
What the interviewer checks: The interviewer is checking whether you can use AutoSum, verify its range, and choose functions beyond SUM.
Other ways it was asked
- “What is the AutoSum function used for in Excel?”
- “Can AutoSum work only for addition, or can it apply to other functions?”
What are Excel formulas and functions, and how do you use them?
Asked in 2 of 65 interviews · last asked Sep 9 · Concept · Junior
Show answer
An Excel formula is an expression that calculates a result and starts with an equals sign (=). A function is a built-in calculation, such as SUM, used inside a formula. To use them, select a cell, type a formula with cell references or values, and press Enter.
- Formulas can use cell references, values, operators, and functions.
- Functions take inputs inside parentheses, such as a cell range.
- Results update when referenced values change, unless calculation is set to manual.
Code=A1+B1 adds the values in A1 and B1. =SUM(A1:A5) adds the values from A1 through A5. =AVERAGE(A1:A5) finds the average of the numbers in that range. What the interviewer checks: The interviewer checks whether you understand the difference between formulas and functions and can use them for basic calculations.
Other ways it was asked
- “What is a formula in Excel?”
- “How do you use functions and formulas in spreadsheets?”
How do you retrieve an assumption dynamically using its driver name and the selected scenario?
Asked in 2 of 65 interviews · last asked Oct 9 · Tooling · Mid-level
Show answer
I use INDEX with two exact-match MATCH functions. One MATCH finds the row for the driver name, and the other finds the column for the selected scenario. INDEX returns the value where they meet, so the assumption updates when either selection changes.
- Use MATCH with 0 to find an exact driver or scenario name.
- Keep the value range aligned with the driver rows and scenario columns.
- Use unique driver names and scenario headers to avoid ambiguous matches.
CodeDriver names: A2:A10 Scenario headers: B1:D1 Assumption values: B2:D10 Selected driver: F2; selected scenario: F3 =INDEX(B2:D10,MATCH(F2,A2:A10,0),MATCH(F3,B1:D1,0))What the interviewer checks: The interviewer is checking whether you can build a two-way lookup without hard-coding a row or column.
Other ways it was asked
- “When your scenario inputs are in a two-dimensional table, with assumption types down the rows and scenarios across the columns, what formula pattern do you use to return the correct assumption dynamically?”
- “In a scenario-based financial model, what Excel approach would you use to retrieve a driver value based on both the driver and the selected scenario, and why?”
How would you build a two-criteria lookup without helper columns, choose a formula, and handle missing matches?
Asked in 2 of 65 interviews · last asked Oct 9 · Tooling · Mid-level
Show answer
In modern Excel, I would use XLOOKUP with two conditions multiplied together, so both must match. This avoids helper columns and combined-key collisions. I would return "Not found" for missing matches, rather than hide them as zero. In Excel 2013–2019, I would use INDEX/MATCH with IFNA.
- Multiplying the condition arrays produces 1 only where both conditions match.
- XLOOKUP returns the first match; use SUMIFS if all matching sales must be added.
- Older Excel may require Ctrl+Shift+Enter for a multi-condition INDEX/MATCH formula.
CodeA2:A100: customers; B2:B100: months; C2:C100: sales E2: target customer; F2: target month =XLOOKUP(1,(A2:A100=E2)*(B2:B100=F2),C2:C100,"Not found",0)What the interviewer checks: The interviewer checks whether you can match two conditions, choose a suitable formula, and handle missing or duplicate matches.
Other ways it was asked
- “How would you build a two-criteria lookup in Excel to return sales for a given customer and month?”
- “For a two-criteria lookup in Excel, would you use XLOOKUP with a combined key or INDEX/MATCH with multiple conditions, and why?”
- “In modern Excel, what formula pattern would you use for a two-criteria lookup based on a driver and scenario, and how would you handle missing matches?”
What is XLOOKUP in Excel, and when would you use it?
Asked in 2 of 65 interviews · last asked Sep 24 · Tooling · Junior
Show answer
XLOOKUP searches a range for a value and returns a matching result from another range. I use it to find details such as a product’s price or an employee’s name. Unlike VLOOKUP, it can return values from either side of the search column.
- It uses an exact match by default.
- You can set a message to show when no match is found.
- If several values match, it returns the first match by default.
- Available in Microsoft 365 and Excel 2021 or later, but not Excel 2016 or 2019.
CodeProduct IDs are in A2:A100. Prices are in B2:B100. To find the price for the product ID in E2: =XLOOKUP(E2,A2:A100,B2:B100,"Not found")What the interviewer checks: The interviewer is checking whether you can explain XLOOKUP and choose it for a practical lookup task.
Other ways it was asked
- “What does XLOOKUP do in Excel, and when would you use it?”
How would you flag duplicate IDs with a formula and count the duplicates?
Asked in 2 of 65 interviews · last asked Oct 6 · Tooling · Junior
Show answer
I use COUNTIF to flag each row whose ID appears more than once. I then count the TRUE flags and filter on TRUE to see those rows. This counts all rows with repeated IDs, including the first occurrence, so I would confirm whether the interviewer wants that or only extra occurrences.
- Exclude blank IDs from the flags.
- A count greater than one flags every occurrence of a repeated ID.
- Use a running COUNTIF range to flag only occurrences after the first.
CodeIDs are in A2:A100. In B2, enter and copy down to B100: =AND(A2<>"",COUNTIF($A$2:$A$100,A2)>1) Count flagged rows: =COUNTIF(B2:B100,TRUE) To flag only extra occurrences, use this in B2 and copy down: =AND(A2<>"",COUNTIF($A$2:A2,A2)>1)What the interviewer checks: The interviewer is checking whether you can flag and count duplicates while handling blanks and defining what counts as a duplicate.
Other ways it was asked
- “In Excel or Google Sheets, how would you use filters and a simple formula to flag duplicate IDs in a table and count how many duplicates exist?”
- “What formula would you use to flag duplicate values in a ticket ID column, returning true or false per row?”
How do PivotTables and Power Query differ, and when would you use each for recurring reports?
Asked in 2 of 65 interviews · last asked Sep 6 · Concept · Mid-level
Show answer
PivotTables summarize and explore data, while Power Query imports, cleans, and combines it. I use a PivotTable when the source data is already clean. For recurring reports with repeated cleanup steps or multiple files, I use Power Query first, then a PivotTable. Each month, I refresh the query and then the PivotTable.
- PivotTables group data, calculate totals, and let users filter or rearrange a report.
- Power Query saves preparation steps and repeats them when refreshed.
- Both can be refreshed; Power Query prepares data rather than replacing PivotTable summaries.
- New files must match the query setup, and changed column names can break saved steps.
What the interviewer checks: The interviewer checks whether you can separate data preparation from reporting and build a repeatable monthly process.
Other ways it was asked
- “What is the difference between a pivot table and Power Query?”
- “How do you decide between using a pivot table versus Power Query for building a recurring monthly report?”
What is a PivotTable, and how do you use it to analyze data?
Asked in 2 of 65 interviews · last asked Jun 16 · Concept · Junior
Show answer
A PivotTable is an Excel tool that groups and summarizes data without changing the source. I select data with column headers, choose Insert > PivotTable, and place fields in Rows, Columns, Values, and Filters. I use it to compare totals, counts, or averages and spot patterns, such as which region has the highest sales.
- Rows and Columns define groups; Values holds calculations; Filters limits what is shown.
- Check whether Values uses Sum, Count, or another calculation.
- Refresh after source data changes, and make sure the source includes any new rows.
CodeTo compare sales by region and month: Rows: Region Columns: Month Values: Sum of Sales Filters: Product Compare monthly totals to find strong and weak regions. What the interviewer checks: The interviewer is checking whether you can set up a PivotTable and use its summaries to answer business questions.
Other ways it was asked
- “Tell me about pivot tables. Why do we use them?”
- “What is a pivot table, and why do we use it?”
- “How would you use a pivot table to analyze data and identify insights?”
How would you build an executive-friendly Excel dashboard that highlights anomalies, spikes, drops, and missing matches while still letting analysts drill into the exact underlying rows without breaking the model?
Asked in 2 of 65 interviews · last asked Aug 5 · Tooling · Mid-level
Show answer
I would show a few key KPIs, trend charts, and clear alerts for spikes, drops, and missing matches. I would agree on alert thresholds with the business and show the reporting period and refresh time. Analysts would use filters and row details, while source data, calculations, and dashboard views stay separate, with formulas protected from accidental edits.
- Use consistent scales and clear labels; highlight exceptions without filling the dashboard with charts.
- Flag unusual changes against targets or prior periods, allowing for seasonal patterns.
- Use a Power Query left anti join to list unmatched records; keep unique IDs for tracing rows.
- For standard PivotTables, double-click a value to extract its source rows into a separate sheet.
What the interviewer checks: The interviewer is checking whether you can balance clear executive reporting, traceable details, and a reliable Excel model.
Other ways it was asked
- “When building an Excel dashboard for executives and analysts, how do you choose visuals and KPIs that highlight trends and anomalies without creating clutter?”
How do you structure scenario assumptions so they are auditable, drive outputs, and support additional scenarios without rewriting formulas?
Asked in 2 of 65 interviews · last asked Oct 9 · Tooling · Mid-level
Show answer
I keep assumptions in an Excel Table, with columns for scenario, driver, period, value, units, and source. One scenario selector controls lookup formulas that feed a single set of linked model calculations. Outputs use those calculations, not hard-coded assumptions. Adding a scenario means adding table rows and updating the selector list, not rewriting formulas.
- Keep each scenario, driver, and period combination unique, with a source and update date.
- Use a validated scenario dropdown and structured table references that expand with new rows.
- Flag missing assumptions instead of silently treating them as zero.
- Use the same selected assumptions across all three statements, and check that the balance sheet balances.
What the interviewer checks: The interviewer is checking whether your scenario design is traceable, drives outputs consistently, and expands without duplicated formulas.
Other ways it was asked
- “In a three-statement financial model, how do you structure scenario analysis so assumptions flow cleanly through outputs without duplicating formulas across scenarios?”
- “When you're building scenario analysis, how do you design the inputs so scenarios are auditable and not error-prone?”
- “How would you structure an assumptions sheet so adding a fourth scenario does not require rewriting formulas?”
How do you prevent accidental overwrites and version conflicts when multiple people edit a shared spreadsheet?
Asked in 2 of 65 interviews · last asked Aug 4 · Tooling · Mid-level
Show answer
I keep one shared file in OneDrive, SharePoint, or Google Drive and use live co-editing instead of emailing copies. I limit edit access, protect formulas, and assign clear editing areas to each person. I use version history to review or recover changes, since live co-editing does not prevent conflicting edits to the same cell.
- Share one file link so everyone uses the current version.
- Give edit access only where needed; protect formulas and fixed data.
- Agree who edits which rows or columns to avoid overlapping changes.
- Review version history before restoring; a full rollback can undo other people’s valid changes.
What the interviewer checks: The interviewer is checking whether you combine shared-file tools with clear editing rules and a recovery plan.
Other ways it was asked
- “What controls would you use to prevent accidental overwrites or version conflicts in Google Sheets when multiple people are editing?”
- “How would you keep a spreadsheet a single source of truth when multiple coordinators are editing large lists of tutors and students at the same time?”
What are VBA macros, and how do you create and use them in Excel?
Asked in 2 of 65 interviews · last asked Jul 29 · Tooling · Junior
Show answer
VBA macros are programs that automate tasks in Excel, such as formatting cells or preparing reports. I create them by recording actions with Developer > Record Macro, or by writing VBA code in the Visual Basic Editor. I run them from Developer > Macros, or assign them to a button or keyboard shortcut.
- The macro recorder creates VBA code that you can edit.
- Save the workbook as .xlsm to keep its macros; .xlsx cannot store VBA code.
- Only enable macros from trusted sources because they can run harmful code.
- VBA macros run in desktop Excel, not Excel for the web.
What the interviewer checks: The interviewer checks whether you understand macro automation and can create, run, and save macros safely.
Other ways it was asked
- “How do you create and use macros in Excel?”
- “What are VBA macros, and how can you use them?”
In Excel, what is the practical difference between a structured table and a regular range?
Asked once · last asked Oct 9 · Concept · Junior
Show answer
An Excel Table has built-in features for managing data, such as named column references and automatic expansion. A regular range is just a group of cells, with more freedom over layout. In a financial model, I use tables for growing transaction data and regular ranges for forecasts or reports with custom layouts.
- Tables support structured references, such as Sales[Amount].
- Table calculated columns normally fill formulas down automatically.
- Both support filters, but tables add filter buttons to headers by default.
- Tables suit consistent rows of data; regular ranges suit flexible model layouts.
What the interviewer checks: The interviewer is checking whether you can choose a structure that keeps a financial model clear and easy to update.
Other ways it was asked
- “In Excel, what is the practical difference between a structured table and a regular range, and when would you choose one over the other in a financial model?”
A user cannot open an Excel file on their desktop. How would you troubleshoot the issue?
Asked once · last asked Feb 24 · Scenario
Show answer
I would check the exact error and whether Excel opens other files. Then I would check the file type, permissions, and whether the download is complete. If only this file fails, I would make a copy and try Excel’s Open and Repair option, if available. If other files also fail, I would troubleshoot Excel itself.
- Separate a file problem from an Excel problem by testing another workbook.
- Check that the file is accessible and its format is supported.
- Keep the original safe; try recovery on a copy or restore a backup.
- For Excel-wide problems, check add-ins, updates, and Office repair options; available steps depend on the platform.
What the interviewer checks: The interviewer is checking whether you troubleshoot in a clear order while protecting the user's data.

How this list is made
Every question here was asked by a real interviewer in a real job interview that a candidate ran MeetAssist in. After the call, the interviewer's questions are pulled from the transcript. Practice sessions, tests, exams and anything that was not a job interview are dropped.
Questions are rewritten so they make sense on their own: names of people, employers and clients are removed, and speech-to-text mistakes are fixed. Small talk, logistics and questions about one candidate's own résumé are left out. Rephrasings of the same question are merged, and the count is the number of different interviews it came up in.
The interviews come from candidates who use MeetAssist, so they lean towards software, data and AI roles: the shares describe these interviews, not every Excel interview. Answers to the most asked questions are written and checked by an editor; a "common mistake" is shown only when reviews of real answers in these interviews show it, with the count.
65 interviews, 53 candidates, Sep 2025 to Oct 2026. Updated every month with new interviews.
