1. Overview

This Privacy Policy explains how MeetAssist OÜ ("we", "our", or "MeetAssist") collects, uses, and protects your data when you use our Chrome extension, mobile app, website, and related services ("Service"). MeetAssist is an AI-powered interview assistant that provides real-time transcription and answer suggestions.

2. Data We Collect

Audio Data

• We capture audio from your active browser tab and/or your microphone during interview sessions for real-time transcription
• Audio is streamed directly to our transcription service and is NOT stored permanently
• Capture only occurs when you explicitly start an interview session

Interview Transcripts

• Real-time transcription of interview conversations
• Stored in your account to provide meeting history and review
• Used to generate AI answer suggestions
• You can view past interviews in your dashboard

User Profile Information

• Name, headline, and professional summary
• Work experience, education, and skills
• Target job position
• Custom AI prompt preferences
• This data is stored in your account to personalize AI responses

Resume/CV Data

• When you upload a CV/resume PDF, we parse it to extract professional information
• Extracted data populates your profile for better AI assistance
• Original PDF files are not stored after parsing

Screenshots

• When using the Code Problem Solver, screenshots of your active tab are captured
• Screenshots are sent to our AI service for analysis
• Screenshots are processed in real-time and not permanently stored

Authentication Data

• Google OAuth tokens (used only for authentication)
• JWT session tokens stored locally in your browser
• Email address for account identification

User Preferences

• Language preference
• Answer style (concise, detailed, native language)
• AI model preferences
• Interview settings

Usage Analytics

• Session duration and feature usage
• Anonymous analytics to improve the service
• No personally identifiable information in analytics

3. How We Use Your Data

Real-time Transcription

Audio is streamed to Deepgram API for speech-to-text conversion. Transcripts are used to identify questions and generate contextual answers.

AI Answer Generation

Transcripts and your profile information are sent to our backend. AI generates personalized answer suggestions based on your professional experience.

Code Problem Solving

Screenshots are analyzed by AI to understand coding problems and generate step-by-step solutions.

Profile Personalization

Your professional background helps AI generate relevant, experience-based answers. CV parsing extracts structured data to populate your profile automatically.

Mobile App Sync (Optional)

If you use the MeetAssist mobile app, transcripts and answers can sync between devices. Sync requires explicit pairing between extension and mobile app.

4. Data Storage

Local Storage (Your Browser)

5. Third-Party Services

Deepgram

Speech-to-text transcription service. Audio is streamed in real-time and not stored. See: Deepgram Privacy Policy

Google OAuth

Authentication only. We receive your email, name, and profile picture. We do NOT access any other Google data.

AI Service Providers

We use third-party AI services (including OpenAI, Anthropic, Groq, and Cerebras) to generate answer suggestions and analyze coding problems. These providers process your data only to provide the service and do NOT use your data to train their AI models. All data is transmitted securely and processed in accordance with each provider's enterprise data handling policies.

6. Data Retention

• Audio: Never stored, streamed only
• Transcripts: Stored in your account for meeting history
• AI Answers: Stored for your reference and review
• Screenshots: Processed and immediately discarded
• Profile Data: Retained while your account is active
• Account Data: Retained until you delete your account

7. Your Rights

Access and Control

• View and edit your profile data at your dashboard
• Export your profile data upon request
• Delete your account and all associated data

Extension Control

• You control when audio capture starts and stops
• Clear local storage via browser settings
• Uninstall extension to stop all data collection

Data Deletion

Delete your account instantly from your dashboard (Profile → Danger Zone → Delete Account). All data is permanently deleted: profile, transcripts, AI answers, and meeting history. Deletion is immediate and cannot be undone. You can also contact support@meetassist.io.

EU/GDPR Rights

If you are located in the EU, you have the right to access, correct, delete your data, withdraw consent, and file complaints with supervisory authorities.

8. Security

• All communications encrypted (HTTPS/WSS)
• OAuth 2.0 for secure authentication
• JWT tokens with expiration for session management
• No passwords stored (OAuth only)
• Content Security Policy prevents unauthorized scripts

9. User Responsibility for Disclosures

When using MeetAssist to transcribe or analyze an interview, you are responsible for informing other participants about the use of AI assistance, if required by applicable law or employer policy. MeetAssist does not automatically notify interview participants.

10. Children's Privacy

MeetAssist is not intended for users under 18 years of age. We do not knowingly collect data from children.

11. International Users

Data may be processed on servers located in the European Union and United States. By using MeetAssist, you consent to data transfer to these regions.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via extension updates or email. Continued use of MeetAssist after changes constitutes acceptance.
